INTRODUCTION The National Economics University's School of Advanced Education Programs has given students like me the chance to work in the real world and put all the theories they have learned to use I would also be able to push ideas that have not been put into practice during the learning process because I am in a new working environment | will have access to the company's operational environment during my internship, and I will

be able to watch how people work and behave in order to develop a more professional work ethic The internship is absolutely crucial for me to have a sense of the real working world and to be better prepared when I graduate

Delivery is a crucial component in bridging international markets as defined by volume, share of the economy, and manpower | made the decision to explore this sector by working as an intern for Logistics XNK Company because I was really interested in this future industry This essay acts as an introduction to Logistics XNK, Vietnam Before making suggestions for the company's future development, I would also like to research the possibilities and risks the company is now experiencing

CHAPTER 1 OVERVIEW OF LOGISTICS XNK — VIETNAM LIMITED LIABILITY COMPANY

1.1 Introduction of Logistics XNK

Ld, Profile

Logistics XNK Vietnam Co., LTD was founded in 6/9/2006 and specializes in logistics and cross-border transportation along the important China-Vietnam-Laos- Thailand-Cambodia-Myanmar corridor The company's head office is at P909, 9th floor, Plasschem building, on 562 Nguyen Van Cu street, Ngoc Lam ward, Long Bien district, opposite HC Long Bien electronics supermarket

Starting with a modest capital and a few fellows, Logistics XNK_ has surmounted obstacles, steadily acquired the trust of many clients, and achieved success

in the forwarding marketplace with the chief process of international freight forwarding Logistics XNK is now renowned as a seasoned organization with a wealth

of knowledge in the field of forwarding, particularly freight forwarding by road, after

11 years of operation In addition, the firm expanded the market by diversifying delivery methods in a number of regions, including China, Laos, Cambodia, and Thailand After many years in business, Logistics XNK has experienced several adjustments and supplements to improve the delivery procedure as well as the style and working attitude of all company workers Instead of focusing solely on finding as many orders as possible, the company has prioritized its customers’ interests and considers strengthening the quality of its shipping services to be a competitive advantage in a market with numerous rivals in the same industry operating as it does today

The company has been operating for 17 years up to the present time and has the following developments:

® In 2006, Logistics XNK was established and operated in the field of customs declaration at border gates (China, Hai Phong port, Noi Bai port)

e 2008: Bringing General Container Transport service into service to customers and operating on the route from Vietnam - China border to Laos

¢ 2016: Insulated container transportation service was put into operation

® In 2017: Expanding China - Vietnam - Cambodia route

® In 2018: Main activities in the field of logistics and freight on the main route China - Vietnam Laos / Thai Nam - Laos Thailand / Cambodia

® In 2020: Restructure the organization and operation structure, separate the service business and the transportation segment into two independent companies to facilitate management and expansion

In terms of mission, Logistics XNK is proud and committed to offering respectable, friendly, safe, and on-time logistics services to customers, particularly those carrying goods along the China-Vietnam-ASEAN route The development of XNK is linked to the development of XNK's people, which is the company's most significant asset and defines its success

1.2 Organizational Structure

In general, any developing corporation requires organizational structure to provide advice and clarity on specific human resource challenges, such as management authority An organizational structure is a system that describes how specific tasks are directed in order to achieve the goals of an organization These activities may include standards, positions, and responsibilities The hierarchy of a business also influences how information transfers between tiers within a company A centralized structure, for instance, makes choices from the top down, whereas a decentralized structure distributes decision-making power across multiple levels of the organization Having a

system of organization in place helps firms stay focused and efficient Logistics XNK's current organizational structure is as follows:

® Director: Logistics XNK Vietnam Co., LTD was created and is headed by Director Nguyen Thi Thu Thuy The director has the most authority in the organization and is responsible for considering the company's strategic vision, offering new ideas and additional skills and knowledge, splitting and assigning responsibilities to subordinates in specific departments and divisions, and having extensive networks to help the company grow Furthermore, the director is personally involved in discussions and transactions with significant foreign customers in order to execute contracts for the company's international freight forwarding services The director is concerned with the big picture and employs a "helicopter focus," which entails leading the organization toward its goals and ensuring that day-to-day management is continually aligned with the broader organization's vision

It 1s vital to recognize that directors do not replace the management team In truth, there is a significant difference between them Directors supervise and supplement the management team's responsibilities by providing long-term planning, financial control, and inside knowledge The management team, on the other hand, is concerned with the day-to-day operations of the business Although management and directors have quite distinct functions, good organizations ensure that there is a strong link between the board and management

- Financial-accounting department: A company's accounting department is in charge of financial statement preparation, general ledger management, bill payment, client bill preparation, payroll, and other responsibilities In other words, they are in control of the total economic performance of the organization Accounting departments are essential to any organization, whether it is a small home-based operation or a large global corporation One of the department's key objectives is to correctly collect all financial data and generate financial statements / reports Budgets, forecasts, and other decision-making reports are prepared using these reports Customers, investors, and other stakeholders are also communicated with through these reports Therefore, following each accounting quarter, the department will compile statistics and evaluate the company's business activities in order to give data and analysis for future management, prediction, and planning reasons with other departments

- Import-export department The import-export department is regarded as the most important department in the company's overall organizational structure, with a direct impact on XNK's profit source and commercial success The Import-Export Department is divided into 05 smaller divisions that are in charge of the key functions associated with international shipping forwarding activities such as searching, customer service, paperwork, logistics, and transportation

+ Sales Department: In charge of selling the company's products The Sales Department encompasses commercial operations and sales processes that aid in the effective distribution of products, the support of strategies, and the achievement of business-oriented goals The Sales Department collects thorough information on clients

in order to increase productivity and efficiency in sales activities Each Sales Department provides operations to meet client needs on a variety of levels, depending

on the quality of products or services, brand positioning, and the business's communication and advertising tactics Aside from keeping a solid existing customer file, it is necessary to build new client groups and new marketplaces They also maintain contacts with existing clients in order to project a positive picture of the company

+ Document Department: is in charge of coordinating with clients, logistical operations, and customs officers to organize and track the transit of products through customs, in tandem with receiving, checking, and completing an entire and accurate set

of documents to transfer to other departments to perform delivery-related activities They also ensure that documents are sent to the correct person for action and that sensitive information and agreement terms are kept private

+ Logistics Department: Manage and maintain items brought to the warehouse, classify goods by area so that the means of transport can deliver the goods to the receiver swiftly and simply

+ Transport Department Look for garages with suitable modes of transportation and schedule and organize vehicles for delivering and receiving goods

+ Customer Service Department Always maintain the situation up to date, answer

to all enquiries, and resolve client concerns before, during, and after the service is completed to ensure quality and customer satisfaction

- Customs Department: Because the corporation initially outsourced customs services, this was simply a section within the Import-Export department that specialized in locating and working with outsourced agents In contrast, one of the most notable and wise decisions made by the company was to establish a separate customs department in order to maximize business efficacy and reduce reliance on third parties XNK's Customs Department has evolved into two departments that self- manage the full process from declaration through clearance, inspection, and direct collaboration with Customs Sub-Departments

+ Procedures Department: in charge of declaring customs and completing customs clearing procedures

+ Operation Department: The operations department is made up of the Border Gate department and the Sub-Department Personnel operating at border gates along the two nations' borders specialized in removing automobiles from the border gate customs control area The remaining personnel will be in charge of collecting customs clearance confirmation of the paperwork as well as checking the products (for red channel commodities) at the branches where the customs declaration is launched

2.1 Overview of freight forwarding services

Services are created in response to actual societal demands Trade and commerce between nations, distant continents, and diverse languages, cultures, and legal systems is now a reality International freight forwarding services were developed

to promptly and cost-effectively address the need of quick product circulation from seller to buyer

According to legend, Germany, the UK, and Switzerland are where the international freight forwarding service industry first began E Vansai (Switzerland), which was founded in 1552, holds the distinction of being the first official forwarder ever A number of forwarding associations and federations were established over time

as demand for international freight forwarding services grew, most notably the International Freight Forwarding Association (1926), also known as the International Freight Forwarding Association (1926) or FIATA

International freight forwarding services are defined by the FIATA as “any service related to the consolidation, transportation, storage, handling, packing, or distribution of goods, as well as private services consultations in connection with the foregoing services, typically in respect of customs, insurance, financing, payment, and documents relating to the goods." According to the 2005 Vietnam Commercial Law,

"International freight forwarding service is a commercial act whereby a person providing goods delivery service from the sender, organizes transportation, storage, and warehousing, as well as handles the paperwork and other related services for delivery and receipt under the direction of the goods owner, the carrier, or other forwarding service providers

The breakout of the COVID-19 pandemic in Vietnam also had a significant impact on the company's business activities in the first half of 2020 The outbreak made it more difficult than ever for import-export enterprises due to the closure of several border gates as well as government travel restrictions, therefore the number of commodities delivered and delivered saw a large decline Fortunately, customs clearance at large border gates such as Huu Nghi was maintained, as were the Vietnamese government's efforts to mitigate the disease, and imports raised again in the second quarter of 2020 Finally, in the two last years of the period beginning in

2021, the company had significant revenue growth, officially reaching more than VND

50 billion in 2021 and more than 60 billion in 2022 This marks a significant milestone

in the company's unwavering efforts to improve and improve service quality over the past five years
