Methodology

This section of my internship report outlines the detailed research methodology employed to achieve the project's goals A variety of methods were utilized to ensure comprehensive results, and this paragraph will clarify the specific approaches taken throughout the project.

To achieve the required results to establish the objective two basic methods were used:

1 Quantitative Analysis: Set up questionnaire and interview 23 purchasers of Buevie co and another purchasing staffs in partner company, were conducted to explore the advantages and disadvantages in the process of purchasing garment materials from foreign suppliers

2 Observation: Observe the workflow of colleagues and collect documents related to the purchase of raw materials at the company.

Process of purchasing raw materials and finding suppliers overseas

2.4.1 Role of production purchaser in sourcing:

For fabric exporters, sourcing garments and trims is essential, as these raw materials must be outsourced The key to successful supply chain management lies in identifying the most cost-effective suppliers for materials, production, or finished products, all while maintaining the desired quality and service standards.

Purchasers play a crucial role in ensuring that fabrics not only align with garment designs and intended uses but are also delivered on time, as lead times can range from two weeks to nine months Effective planning is essential for sourcing both piece goods and trims—materials beyond the fabric necessary for garment production Once the fabric is received, the procurement of matching thread must commence promptly, ensuring it meets the buyer's specifications Timely ordering of these materials is vital to ensure they are ready by the time the fabric is cut for sewing.

The supply department is crucial for the successful execution and delivery of export orders, particularly in the fabric supply sector It is responsible for identifying the sources and logistics of acquiring fabrics within specified timeframes and budgets To effectively manage these tasks, a supply manager must possess comprehensive knowledge of various fabrics and decorative elements.

Sourcing aims to acquire the appropriate fabric and trims at the right location, on time, and at the best price As the purchaser plays a crucial role in the entire order processing, sourcing is an essential component of purchasing activities The purchaser's role in sourcing is vital for ensuring efficient and effective procurement.

 Purchaser bares the responsibility of sourcing fabric and trims.

 Purchaser coordinate with merchandise department for calculate fabric and trims consumption per garment.

 The approvals related to fabric such as lab-dips, desk-loom, print-strike-off, dye-lot,thread run, needs to get from buyer within time frame.

2.4.2 The process of fabric/trims sourcing

Fabric sourcing is a dynamic process influenced by various factors, including fabric type, supplier costs, lead times, and buyer requirements In an export house, the typical fabric sourcing process involves evaluating these elements to ensure optimal selection and procurement.

2.4.3 The material and information flow

In the sourcing process, information flows from the buyer to either the buying house or garment manufacturer, which then relays this information to fabric and trim suppliers Based on this information, suppliers provide the necessary materials to the garment manufacturer In cases where the buyer has designated specific suppliers for fabrics and trims, they communicate directly with these suppliers, instructing the merchandiser to source materials according to the order requirements Consequently, all risks associated with fabrics and trims, including delays, variations, and quality checks, are transferred to the fabric and trim suppliers, leaving the buyer responsible for these risks.

2.4.4 Factors affecting sourcing of fabric and trims

Sourcing fabric and trims is a time-intensive process that involves multiple approvals, including desk loom, lab-dip, trim, artwork, and FPT approvals The lead time for fabric sourcing varies: yarn-dyed fabrics typically require about 45 days, piece-dyed fabrics about 30 days, and fiber-dyed fabrics approximately 55-60 working days Purchasers must choose fabric suppliers based on the type of fabric needed and the remaining time to fulfill export orders Additionally, if sourcing fabric from another country, transportation time must also be factored in.

Effective trim sourcing is crucial, as it typically takes around 30 days for trims to arrive in-house The delivery timeline can vary based on the type of trims and their procurement sources.

Logistics is one of the main factors which affects the fabric sourcing drastically There are several aspects those are

When ordering fabric or trims, purchasers must consider key factors such as transportation time, which is crucial for meeting lead times in procurement Inadequate infrastructure can cause delays in obtaining materials, while logistics costs can significantly impact the overall garment expenses Therefore, it is essential for purchasers to be knowledgeable about these logistics aspects before placing their orders.

The rising demand for affordable, high-quality fabrics and trims, along with the necessity to cut costs for improved operating profits, is prompting many companies to outsource manufacturing to overseas suppliers While this sourcing strategy can be beneficial, it often poses challenges when fabric and trim suppliers fail to meet quality standards, creating difficulties for apparel merchandisers in fulfilling export orders.

The consistent production of quality fabric and trims by sourcing partners relies on several key factors, including the skill and flexibility of the workforce to create a diverse range of materials Additionally, the technological advancements adopted by these partners play a crucial role Equally important is the clarity and accuracy of written communications and instructions provided by garment manufacturers and apparel purchasers.

Sourcing decisions in the garment industry are increasingly influenced by strategic partnerships with fabric and trims vendors, rather than solely on manufacturing costs Both garment exporters and buyers are forming relationships with these nominated vendors to enhance their sourcing strategies The overall sourcing cost is determined by several key factors.

When evaluating the costs of manufacturing fabric and trims, it's essential for manufacturers to consider the hidden expenses associated with offshore production By keeping fabric and garment manufacturing units in close proximity or under one roof, sourcing costs can be significantly reduced Additionally, delays in manufacturing can lead to increased freight charges, particularly when materials need to be expedited via air freight.

Minimum Order Quantity (MOQ) is a crucial factor influencing fabric and trim sourcing, as it directly impacts production costs Suppliers set specific MOQs to ensure economical production; orders below this threshold typically incur higher costs Consequently, garment exporters must adhere to MOQs to maintain cost-effective production throughout the supply chain.

In the garment industry, suppliers are designated by export houses or buyers for fabric and trim production While some export houses have in-house fabric production, it is becoming more common to source these materials externally due to manufacturing limitations This approach allows garment exporters to transfer risk and focus solely on garment production There are two primary types of suppliers involved in this process.

Researched sample

For this research project, a questionnaire was developed to interview three purchasing staff members from Buevie Co and twenty purchasing staff members from partner companies, including Saitex and Fashion Garment Co All participants have over one year of experience in directly purchasing goods for their respective companies The key data collected is specifically tailored for this study.

During the 15-day interview period, I conducted interviews with 2 to 3 purchasers in my company within the first 5 days My observations revealed that the purchasing staff engages in over 20 transactions daily through phone and email with overseas suppliers.

We initiate our research by interviewing our internal colleagues responsible for material procurement, followed by discussions with purchasing staff from partner companies, specifically 10 purchasers from Saitex Co and 10 from Fashion Garment Co This process is facilitated through direct interactions during my visits to these companies and by distributing survey questions via email.

Data Analysis

Data analysis involves the systematic application of measurable and logical methods to describe, consolidate, summarize, and evaluate information, making it a crucial component of research papers In my study, I collected both quantitative and qualitative data using notebooks and Google Forms to create questionnaires I organized and analyzed the data with Microsoft Excel, which was well-suited for my descriptive research approach.

Benefits of Getting Supplies Overseas

By sourcing supplies overseas, companies can significantly lower production and labor costs, potentially saving between 40% to 70% compared to domestic prices In fact, some businesses have reported savings of at least $12 million solely from reduced labor expenses.

(According to Ms Lien - a purchaser with 15 years of experience of Bultel Internation Vietnam co, ltd ).

The company gain great accessibility to skills and resources that are not available locally There are resources and new technology that are only available elsewhere.

In fact, there are millions of sources that are available There are several companies who choose to source overseas because local suppliers lack the capacity to meet their demands.

Benefit of getting supplies Overseas

Chance to focus on business’ core process

Access to superior quality Easy accessibility

Many companies take pride in delivering high-quality products globally, with some international suppliers even outperforming domestic options Additionally, certain manufacturers are willing to customize existing products to meet their clients' specific preferences.

4.1.4 Chance to focus on business’ core process

Importing supplies from overseas can significantly streamline operations for businesses, allowing them to dedicate more time to their core processes and enhance overall efficiency By leveraging this approach, companies can better serve their clients and maximize their competitive advantage.

Difficulties and risks in buying materials from suppliers overseas

In addition to the above benefits, there are also difficulties and risks in buying materials from suppliers overseas, and the survey also analyzed the following difficulties:

4.2.1 Difficulties in language and culture:

Purchasing materials from international suppliers who speak different languages and come from diverse cultures can create significant challenges for buyers This often leads to difficulties in fully understanding the supplier's products and overall situation, resulting in ineffective communication.

Besides, suppliers may not be fluent in your language, and they may not be comfortable asking for explanations multiple times.

Ms Lan, a purchaser at Bultel International Co., Ltd, encountered a common issue during a fabric purchase from a supplier in China, where she expressed concerns about inconsistent color quality in certain sections of the fabric roll However, the supplier struggled to comprehend her complaint.

Ms Lan clarified that the fabric's shading was not due to improper chemical washing by the manufacturer After multiple explanations and providing a sample for inspection, she successfully convinced them of the fabric's quality.

Some suppliers mandate upfront payment prior to delivery, which carries risks such as receiving defective products or incomplete shipments Furthermore, payments should align with contractual terms and adhere to the policies of the respective country.

Companies may occasionally experience delays in payments to suppliers, even when payment terms specify 30 or 60 days after receipt of goods This can occur due to insufficient financial resources, preventing timely settlements for all outstanding invoices.

In September 2020, Bultel Company faced a challenge with an advance payment requirement from a supplier in Taiwan, as stipulated in their sales contract Although Bultel complied with the request and settled the payment prior to delivery, they ultimately received a short shipment, resulting in an insufficient quantity of goods to fulfill their orders.

In late 2020, Ms Thao, a purchaser at Bultel Company, persistently reached out to the supplier to request the return of the outstanding payment, which was finally refunded by the end of the year.

Choosing the right supplier is crucial in the purchasing process, especially for products that require long-term maintenance and service, such as investment goods Neglecting to verify a supplier's financial references can lead to significant issues, including unexpected bankruptcies, failure to meet quality standards, and reluctance to honor warranty commitments.

If you rely solely on overseas suppliers to determine that quality standards have been met, you won't know about any problems until after orders arrive.

Poor product quality can lead to the company receiving substandard items, despite all suppliers being required to provide images before shipping Local suppliers find it easier to return goods, while foreign suppliers face complications due to the geographical distance involved in returning products.

The company ordered metal buttons from a supplier in India, and while the initial samples were satisfactory, the received goods exhibited quality issues, as the buttons became misshapen after being attached to trousers Consequently, the company lodged a complaint with the supplier and urgently sought alternative buttons to meet their delivery deadline.

Shipping issues can arise between factory departure and destination arrival, including late deliveries, incomplete shipments, damaged products, and unreadable labels These problems often stem from unclear specifications or poor supplier selection Additionally, the lack of systematic evaluation of suppliers can lead to persistent delivery issues Delays can also be caused by external factors such as vessel delays, port congestion, natural disasters, epidemics, and political instability.

Delays in delivery significantly impact the manufacturing plan, leading to a postponement of the entire production process This disruption not only affects customer orders but also diminishes the company's reputation.

For example: On October 2020, the company exported zippers from supplier in Japan.

During a super typhoon in Japan, the government mandated the suspension of all flights and ships to ensure safety, resulting in delays for zipper shipments Consequently, the company faced challenges in receiving its shipment on time.

4.2.5 Difficulties in working with social applications and ordering through the software on the supplier's website :

Using messaging apps like Kakaotalk, WeChat, Line, or WhatsApp for supplier communication can lead to the loss of important information, making it difficult to retrieve critical details later Additionally, conversations conducted through these platforms often lack formal confirmation, increasing the risk of misunderstandings.

Ordering through the software on the supplier's website sometimes have a network connection problem or request buyers must be have a separate account which are created by suppliers.

Ms Lan, a purchaser at Buevie Co., frequently communicates with her suppliers through WeChat During one negotiation for fabric pricing with a supplier in China, she successfully secured a discount However, the agreement was not confirmed via email Consequently, when the supplier delivered the goods, the invoice reflected the original price instead of the negotiated discount.

THE SIGNIFICANCE OF THE RESEARCH RESULTS

Achieving positive results is crucial for business growth and effectively addressing challenges when collaborating with international suppliers Careful selection of partners is essential for success Additionally, this research aids individuals in identifying job-related issues and allows for targeted improvements By navigating the complexities of working with foreign suppliers, one gains valuable experience and fosters stronger relationships with partners.

SOLUTIONS TO OVERCOME THE DIFFICULTIES

From analyzing the difficulties found in Chapter 4, I have continued to research and offer solutions to overcome those difficulties in the following specific ways:

5.1.1 For difficulties in language and culture:

To prevent misunderstandings, it is essential to follow up discussions with written confirmation of agreements Utilizing templates for certain communications ensures consistent presentation of information Additionally, having important documents professionally translated and providing suppliers with both the original and the translated versions is crucial for clarity.

5.1.2 For difficulties in the payment:

Carefully read the terms of the contract such as the case of payment before delivery, requiring the supplier to ensure quality of goods, delivery of sufficient quantity

In addition, the company should have plan to prepare an amount for payment on time.

To ensure high-quality goods, it is essential to implement quality inspections prior to packaging leaving the country of origin Additionally, training suppliers on your specific quality standards and methodologies, while holding them accountable for adherence, can significantly enhance product quality.

Ensure your supplier has a contingency plan for potential loss, delay, or damage, and that all parties clearly understand the Incoterms governing their responsibilities Partnering with a reliable logistics provider that offers diverse service options is essential Additionally, obtaining security certifications from customs authorities at both the origin and destination can minimize the risk of lengthy cargo inspections, barring unforeseen events like natural disasters, epidemics, or political issues.

5.1.5 For difficulties in working with social applications and ordering through the software on the supplier's website :

Summarize main points of communication on social applications such as wechat, line… and rewrite the information by email and send to customer or supplier to confirm again.

Order off-peak if you have problems many times when ordering through the software on the supplier's website.

To enhance communication with suppliers, consider appointing an in-country representative who can proactively address potential questions and ensure that all essential details are included from the outset.

Ensure that suppliers are fully aware of your standards and expectations, allowing them a reasonable timeframe to achieve compliance Conduct regular audits of key suppliers, and consider employing a neutral auditor to confirm adherence to proper practices when necessary.

Understanding lead times for finished products, critical components, and raw materials is essential for anticipating and preventing costly delays To mitigate material shortages, purchasers often pre-buy packaging that includes raw materials with extended lead times Additionally, exploring alternatives such as paying for overtime and collaborating with backup suppliers can help alleviate potential bottlenecks in the supply chain.

RECOMMENDATION

We can see that there are several difficulties and barriers when working with suppliers overseas.

All of the difficulties and barriers increase expense or add risk or both Therefore, many corporations are attempting global sourcing, they have found fewer advantages than anticipated.

Inefficient global sourcing can severely hinder a company's ability to expand into new markets, as a lack of a local supply base may lead to business failures However, companies that invest in developing the necessary skills for effective global sourcing can thrive, though this requires a comprehensive approach across all industries Disruptions are inevitable in any supply chain, making meticulous planning essential When sourcing globally, businesses must carefully evaluate what to source and what to retain, as solely focusing on cost advantages can lead to significant challenges Global sourcing should be an integral part of a firm's proactive strategy rather than a reactive measure To minimize errors during the implementation of new supply chain activities, companies should consider potential disruptions, ensuring flexibility in supplier payments, having backup plans for just-in-time deliveries, maintaining a well-managed inventory system, providing excellent training to uphold quality, and committing to continuous improvements to sustain a competitive edge.

CONCLUSION

The growing adoption of sourcing practices is transforming product development, manufacturing, and distribution, enhancing industry efficiency to meet customer demands within specified timeframes and competitive costs Sourcing strategies for raw materials in garment manufacturing hinge on factors such as lead time, cost, and quality, while also being significantly influenced by international tariffs and trade laws Additionally, sourcing decisions are shaped by domestic market conditions, cost advantages, the international market landscape, bilateral relations, and the political stability of the countries involved.

This research significantly enhanced my understanding of the benefits and challenges of collaborating with foreign suppliers By analyzing these factors, I was able to implement strategies that not only improved my work efficiency but also contributed to the overall growth of the company.
