Theoretical background

An overview of job interview

A job interview is a crucial conversation between a potential employer and a job applicant, aimed at assessing the applicant's suitability for the position During this interaction, the employer evaluates the candidate, while the applicant seeks to understand more about the role and make a positive impression The formality of job interviews can vary significantly, ranging from informal chats to formal discussions with multiple company representatives.

Securing a job interview signifies that the employer is interested in the applicant Typically, candidates apply for a job by submitting their resume and required documents, which are then reviewed by the employer or a representative Based on this evaluation, selected applicants are invited for an interview, which may sometimes occur as a preliminary phone interview to optimize time and resources for both parties.

The interview process varies significantly based on a company's size and structure In small businesses, candidates often experience a single interview directly with the employer Conversely, larger organizations typically have a multi-step approach, where applicants first meet with human resources before undergoing interviews with potential supervisors and other team members Additionally, larger companies may employ interview panels consisting of multiple decision-makers to evaluate candidates collaboratively.

1.1.2 What makes a perfect job interviews?

Your personal appearance is a critical component of that all-important first impression when you walk into the room for your interview.

Here are some preparation tips:

When preparing for an interview, women should opt for an elegant colored shirt paired with casual pants or a knee-length skirt It is advisable to choose simple or darker colors like black, white, or blue, while avoiding bright and bold hues such as orange, yellow, or pink Additionally, it is crucial to steer clear of clothing that may be considered offensive or overly revealing, as this can detract from a professional appearance.

For men preparing for an interview, opting for dark-colored outfits with minimal motifs is essential A polished look can be achieved with dark pants, a white shirt, and a simple tie that complements the overall attire Careful selection of the tie is crucial, as an unsuitable choice may create an overwhelming or flashy appearance.

 Footwear: Don’t forget to consider your shoes Choose a pair that is stylish, but conservative and comfortable

For a successful interview, maintaining neat and clean hair is essential Men should ensure their hair is neatly cut, while women should style their hair in a high ponytail or bun to avoid having it fall into their face.

- Jewelry: Should not be worn or carried too much to avoid feeling bombastic and prolix Women should only wear a ring on one finger while a man should have a polite watch

- In addition, you should also apply makeup yourself or lightly brush your lipstick to create a fresher feeling

Effective communication is often overlooked during the job application process, especially for first-time applicants Since you have limited opportunities to impress potential employers, it’s crucial to master your communication skills to make a lasting impact.

To capture an employer's interest, it's essential to present yourself accurately while also demonstrating strong listening skills and asking insightful questions By engaging in meaningful dialogue and posing thoughtful inquiries, you show that you are genuinely understanding the conversation, which can significantly enhance your appeal as a candidate.

Communication skill is not just a single skill, but will be assessed on the whole including:

 The ability to ask important questions, correct the nature of the problem;

 Don't say too much about anything;

 Understand the other person and be in tune with what you say to them This is considered a package of communication skills that employers will look for in candidates

As a fresh graduate with limited experience, employers may not have high expectations; however, understanding their needs and preparing yourself accordingly can significantly enhance your chances of standing out among other candidates.

Job interviews can be nerve-jolting experiences But just like first dates, they can also be wonderful opportunities

If you are well prepared, confident, and handle yourself well, you'll make a great impression during the interview That often translates into a job offer

The great thing is that being well prepared, confident, and doing everything right in your next job interview is much easier than you think

"Failing to prepare is preparing to fail."

Ben Franklin's insight highlights the essence of the job interview process: preparation is paramount In fact, being well-prepared is more crucial than possessing specific job knowledge, skills, or experience Prioritizing preparation can significantly enhance your chances of success in interviews.

12 your secret weapon to acing the interview and coming out on top, regardless of how "good" the other candidates are!

Preparing for an interview starts after application submission It is necessary to prepare for the interview by looking at following areas: a) Show yourself as a person

Demonstrating enthusiasm during a job interview is crucial; by maintaining a positive attitude, you convey to the interviewer that you are a proactive individual ready to contribute positively to their organization.

 Being likeable It sounds simplistic, but it's a fact that is often overlooked people want to work with (and hire) people they like

 Being determined You have to make it clear that you want this job more than anything else

 Being informed You need to know about the company and what they'll expect you to do for them b) Know the employer and the position:

 Do a thorough research of the organization before the interview

 Read the company's literature Talk to some of the employees Locate the interview place

 Visit the company before the interview to make sure you know the exact place where the interview is to be held c) Know the different phases of an interview:

Eg: Why should I hire you?

Where do you see yourself in five years ? Ten years ?

 Closing phases: You might be asked to asked some questions Be prepare to ask or wrap up

Eg: Do you have any questions for us?

Some common question are asked in an interview:

Put simply, body language is the unspoken element of communication that we use to reveal our true feelings and emotions Our gestures, facial expressions and posture, for instance

By learning to interpret nonverbal cues, we can gain valuable insights into the true messages others are conveying This skill not only deepens our understanding of communication but also heightens our awareness of how individuals respond to our words and actions.

We can also use it to adjust our own body language so that we appear more positive, engaging and approachable.

The significance of English in job interview

Many candidates struggle to provide concise and relevant answers during interviews and often lack the skills to write a formal letter or report This limitation can hinder individuals with strong technical knowledge, leaving interviewers in a difficult position when assessing their capabilities.

Employers prioritize candidates who possess strong English communication skills alongside their job expertise This dual competency reduces the need for extensive orientation and on-the-job training, making the recruitment process more efficient.

To have a good job, we need to equip ourselves with a solid foundation of English and use it effectively in the job interviews

Speaking is the productive skill in the oral mode It, like the other skills, is more complicated than it seems at first and involves more than just pronouncing words

There are three kinds of speaking situations in which we find ourselves:

Interactive speaking situations, such as face-to-face conversations and telephone calls, involve a dynamic exchange where participants listen and speak alternately, allowing for clarifications and adjustments in communication In contrast, partially interactive scenarios, like delivering a speech to a live audience, typically prohibit interruptions; however, speakers can still gauge audience comprehension through non-verbal cues like facial expressions and body language.

Here are some of the micro-skills involved in speaking The speaker has to:

 Pronounce the distinctive sounds of a language clearly enough so that

15 people can distinguish them This includes making tonal distinctions

 Use stress and rhythmic patterns, and intonation patterns of the language clearly enough so that people can understand what is said

 Use the correct forms of words This may mean, for example, changesin the tense, case, or gender

 Put words together in correct word order

 Use the register or language variety that is appropriate to the situationand the relationship to the conversation partner

 Make clear to the listener the main sentence constituents, such assubject, verb, object, by whatever means the language uses

 Make the main ideas stand out from supporting ideas or information

 Make the discourse hang together so that people can follow what you are saying

1.2.1.2 The importance of speaking skills in job interviews

Effective communication often brings to mind the act of speaking, which plays a crucial role in conveying messages Mastering the art of speaking is essential for various scenarios, such as a manager inspiring their team through motivational speeches, a bookkeeper clarifying a client's financial status, or a job candidate making a strong impression during an interview.

Effective speaking skills are crucial not only for achieving career success but also for enriching personal life, contributing to overall well-rounded growth that everyone should strive for.

Strong speaking skills are essential for effectively communicating and persuading others to understand your perspective Mastering these skills enables you to capture and maintain attention, making it a valuable asset in personal and professional interactions Investing time and effort into improving your speaking abilities is undoubtedly worthwhile.

16 in fully developing You can showcase your excellent speaking skills during a job interview, so make the most of the opportunity

1.2.1.3 How to speak in English effectively in job interviews a) Vocabulary

To enhance your vocabulary, it's essential to read in English and jot down any unfamiliar words in a vocabulary notebook Expanding your word bank will significantly strengthen your speaking skills, enabling you to respond confidently to recruiters' questions.

Some common English words in the interview:

Prior to your interview, it's essential to familiarize yourself with the specific vocabulary related to the company and its industry Employers often ask questions to assess your understanding of their business, and providing informed responses demonstrates your preparation and genuine interest in the position.

X is a leading company in the country, with its products found in nearly every household This widespread presence highlights the significant role X plays in our daily lives I truly admire this impact and aspire to contribute to the same value by becoming part of the team.

Preparing for a job interview in English requires showcasing your best self, which includes effectively using various grammatical tenses To enhance your performance, it's essential to review the tenses you know and understand their application Additionally, by anticipating common interview questions, you can thoughtfully prepare your responses in advance.

Job interview tips on how to use a mix of English tenses:

The present simple tense is used to express truths that are currently valid and relatively permanent It is ideal for discussing daily job tasks, stable situations, and personal skills.

- I work in a very international team My colleagues are from all over the world so we communicate in English

- I use Google docs every day at work

- I speak fluent Japanese and English

The present continuous tense is used to describe actions we are currently engaged in, but it does not refer to actions happening at this exact moment For instance, during a job interview, avoid narrating your actions in real-time, such as saying, "I'm sitting in a chair" or "I'm talking to you," as this could create an awkward impression on the interviewer.

Instead, you can use this tense to talk about what you are doing at your current job at the moment

Unlike the present simple tense, which describes permanent situations, this tense allows for discussion of temporary actions or situations that may frequently change For instance, in an interview, a common question could be, “What are you working on right now?”

- I’m working on a project with a company based in the UK at the moment.”

- I’m managing a team of three right now.”

Use the past simple to tell your employer about finished actions

In job interviews, it’s common to be asked about your education, often phrased as “What did you study at university?” or “Tell me about your studies.” It's important to respond using the past simple tense, such as, “I studied engineering at the University of Bristol” or “When I left school, I decided to pursue a professional training course in welding.”

You can also use the past simple to talk specifically about your previous jobs Please have a look at the following example:

- “When I worked for British Airlines, I often handled customer complaints.”

- “I learnt a lot about photography when I worked for Snappy Co.”

The present perfect tense is essential for expressing actions or states that started in the past and continue into the present This beloved tense allows you to connect past experiences with current situations, making it a valuable tool in effective communication.

In a job interview, you can talk about your likes and dislikes with the present perfect The words always and never can be used For example:

- “I have always enjoyed working with people.”

- “I have never liked sitting behind a desk all day long, which is why I enjoy working as a construction manager.”

We also use this tense to talk about recently finished actions, or actions which have a strong connection with the present situation For example:

- “I have just completed a large project in collaboration with a tech company in California That’s why I feel ready to work with a US-based company again.”

- “I have worked freelance for my whole career so far, so I really want to work as part of a team now.”

Limitations of the study

Despite significant efforts, this study has notable shortcomings and areas for improvement The limited materials supporting the thesis posed challenges in drawing convincing conclusions Additionally, the study's constraints can be attributed to the researcher’s limited personal abilities.

The study, conducted over two months, marks my initial foray into research, necessitating additional support and resources from my supervisors and lecturers at Haiphong Private University I focused on surveying final-year students, specifically gathering insights from 15 students in class NA2101N However, the results may not accurately represent the broader interests of students regarding English skills, and the research does not encompass all aspects of the challenges faced.

I welcome constructive feedback from educators, peers, students, and anyone interested in this thesis to enhance its effectiveness and utility in promoting innovative teaching and learning methods in line with the Ministry of Training and Education's objectives.

Suggestions for further study

Due to time constraints, limited resources, and the researchers' capabilities, this study does not encompass all aspects of the topic It specifically focuses on the effective use of English in job interviews for final year students at HPU, aiming to enhance their interview performance Future research could benefit from including more participants and employing diverse data collection methods In addition to surveys and interviews, observational techniques are essential for drawing more convincing conclusions Despite its limitations, this research was conducted under the guidance of a supervisor and through personal effort, and any feedback or criticism would be greatly valued for future improvements.
